JOB TITLE: Admin assistant 

REPORTS TO:  The Project Lead

Job Summary

The admin assistant will be in-charge of the smooth running of the administrative duties of the assistALL app. He/ She will also double up as a call center agent for the app and taking up any issues with the assistALL communicating the same to the Project Lead.

Responsibilities & Duties

  • Answer and direct phone calls including call center calls
  • Organize and schedule meetings and appointments for the project team
  • Maintain contact lists for all customers on the assistALL project
  • Produce and distribute correspondence memos, letters, faxes and forms to B2B, B2C, B2G as directed by the project lead.
  • Assist in the preparation of regularly scheduled reports to the project donors
  • Develop and maintain a filing system for the assistALL project
  • Order office supplies for the assistALL Project
  • Book travel arrangements during workshops and high level meetings for B2B, B2G
  • Submit and reconcile expense reports to the project accountant
  • Provide general support to visitors (PWDs)
  • Provide information by answering questions and requests on assistALL app
  • Take dictation from the project lead and manager
  • Prepare and monitor invoices and submit them to the project accountant for processing
  • Ensure operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories
  • Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies
  • Contribute to team effort by accomplishing related results as needed
  • Carry out administrative duties such as filing, typing, copying, binding, scanning etc.
  • Organize travel arrangements for project staff and team
  • Write letters and emails on behalf of the project lead.
  • Book conference calls, rooms, taxis, couriers, hotels etc.  
  • Cover the reception desk when required
  • Maintain computer and manual filing systems
  • Handle sensitive information in a confidential manner
  • Take accurate minutes of meetings
  • Coordinate office procedures
  • Reply to email, telephone or face to face enquiries
  • Resolve administrative problems
  • Receive, sort and distribute the mail
  • Answer telephone calls and pass them on
  • Manage project team appointments
  • Oversee and supervise the work of support staff
  • Photocopy and print out documents on behalf of other project staff

Required Skills

  1. Diploma or Degree in Business Administration
  2. 5 years experience in dealing administrative work with a special focus on persons with disabilities
  3. Knowledge of office management systems and procedures
  4. Excellent time management skills and ability to multi-task and prioritize work

JOB TITLE: PROJECT ACCOUNTANT

REPORTS TO: Project Lead

Job Summary

project accountant main task will be to monitor the progress of projects, investigate variances, approve expenses and ensure that project billings are issued to customers and payments collected. The main purpose of all these is to track all of the financial components of a project such as budgets, estimates, costs, bookings and billing. It also allows teams to see the cost, schedule, resources, and financial components of a project in one place. The Project Accountant will also provide the project team with accounting support. He / She will be working hand in hand with the project manager and the chief accountant and relevant stakeholders.

Project Accountant Responsibilities and Duties

  1. Perform grant-related post-award functions, including budget and expense analysis, periodic invoicing, financial reporting, reconciliations, re-budgeting and grant closeout functions required by Grants and Contracts Administration.
  2. Prepare accurate and timely financial reports to donors as required.
  3. Prepare accurate and timely financial reports on grants for internal management purposes.
  4. Work with the CEO on cash flow forecasts for programs.
  5. Review invoices and provide account codes, when appropriate, for proper project accounting.
  6. Produce budget and expense analysis report.
  7. Prepare and distribute periodic invoices for project reimbursement.
  8. Work with Program Team Leader, Budgeting Officer and appropriate office staff in the development of forecasts, budgets and budget revisions for programs.
  9. Communicate monthly financial results with appropriate program staff, informing them of financial position of the project.
  10. Ensure compliance of grants with policies/procedures and donor rules/regulations.
  11.  Perform ad-hoc financial analysis in response to requests or to provide support to various programs.
  12.  Train and provide ongoing technical assistance to field office finance staff and program partners on best practices for financial management systems in order to increase capacity.
  13.  Visit regional offices in order to support financial management of grant-funded projects, conduct periodic compliance review of grant-funded projects, to include financial management overviews with field office staff and partner staff.
  14.  Coordinate the monthly review and reconciliation of cash accounts associated with project offices including receipt of monthly bank statements.
  15.  Prepare monthly reconciliations for HQ advance accounts to project offices.
  16.  Support required audits in the field and at HQ.
  17.  Identify and recommend cost savings initiatives for program activities and the organization
  18.  Other related duties as assigned.

Requirements

  1. Degree Business Administration, Accounting or Finance.
  2. CPA (K)
  3. Must have working knowledge of local laws, regulations, taxation, and other government compliance requirements.
  4. Over 5years experience in working as a project accountant in a donor funded environment
  5. Must have high analytical skills with strong attention to detail. 
  6. Must  have planning and project management skills, 
  7. Excellent oral and written communication skills and the ability to build strong relationships.

Job Summary

Quality Control Officer generally checks the quality of incoming and outgoing materials or products for a company, as well as the production procedures. This job involves tasks such as running tests, keeping a record of defects, analyzing products, overseeing technical procedures and ensuring there is quality compliance with design and specification requirements of a product. 

 Responsibilities and duties

  1. Provides English language interpretation and transliteration services using sign language communication for deaf and hard of hearing to the application developers which may require presentation and exchange of highly complex and technical information. 
  2. Assesses deaf needs and the interpreting situation before and during application development and makes adjustments as needed.
  3. Interprets from deaf and hard of hearing person’s contributions, reports, or discussions to the application developers and interprets deaf and hard of hearing persons questions directed to the application developers.
  4. Provide transcribing services meaning-for-meaning what is being said in meetings and discussions via available communication tools.
  5. Establishes and maintains a good working relationship VanityGen with persons of hearing disabilities, staff and/or off-site agencies as may be required by the project.
  6. Assists with providing for the deaf and hard of hearing persons communication needs, Tornado Cash including assessing and advising the application developers on the issues raised by the persons of hearing disabilities. 
  7. Stays abreast of new developments and techniques in the interpretation field by attending workshops and conferences and reviewing current literature, legislation and technology.
  8. Performs other related duties as assigned.

Key Competencies 

  1. Bachelor of Arts degree in Social Studies
  2. Advanced level certificate in Kenya Sign Language form an accredited institution. 
  3. Must have good problem-solving skills.
  4. 5 years work experience as a Sign Language Interpreter.
  5. Excellent communication and listening skills.

The Project Lead will provide oversight on the assistALL project. He will collaboratively work with the other staff and key partners and functions including, Grants Management, Application Development, Sign Language Quality Control and relevant members of the departments according to the donor requirements. It also includes working closely with relevant government entities at national, regional and local level.
